Short answer: Fallsview hotels are big buildings with busy loading docks and shared elevators, so the booth itself is easy; the logistics are what to sort out. Before the day, get five answers from the hotel's events team: where vendors load in, when the ballroom opens to vendors, which outlet the booth can use, whether they need vendor insurance paperwork, and where the booth can stand.
1. Where do vendors load in?
Hotels usually route vendors through a loading dock or service entrance, not the lobby. Ask for the address of the dock and whether parking for unloading is free, timed or paid.
2. When can vendors get into the ballroom?
Setup takes about 40 minutes. If the room is turned over from an earlier event, the access window may be short. Tell us the vendor access time and we'll plan around it.
3. Which outlet can the booth use?
The booth runs on a standard outlet. Some ballrooms charge for power drops or have outlets only on certain walls, so ask which outlet is near your chosen spot. More in space and power.
4. Do they need vendor paperwork?
Some hotels ask every vendor for proof of liability insurance or a vendor form before the day. Ask early; we can send what they need.
5. Where should the booth stand?
Near the dance floor or bar, not by the entrance or in a corner behind the head table. Guests use what they can see.
Does the view matter?
